About
One of our most successful cases is with an AI scribe company in the veterinary industry. The customer was facing fierce competition and was getting most of its meetings from Meta ads. Competition created a lot of noise in the market and the channel was no longer effective.
Campaign
We launched an outbound email campaign targeting 60,000+ veterinary professionals in North America. We also recruited, trained, and managed 12 remote sales reps to contact every clinic every 6 months. Our deliverable was meetings booked and completed for the client’s account executives.
Results
We booked 425 meetings in 8 months and helped our client generate over $800,000 in pipeline revenue. Outbound has become our client’s lowest cost per meeting channel and contributes to about 70% of their current meetings. After 1 year of working together, we’re consistently booking around 100 meetings per month.
Email Strategy
We first used a tool called Apify to scrape Google Maps with a list of every veterinary clinic in North America. We segmented the list by every type of veterinary service such as emergency, equine, mobile, and rehabilitation.
We then built an AI agent using a software called Clay to scrape the about us page of every veterinary website. We organized contacts by job titles: veterinarians, practice managers, and technicians.
We were able to obtain their email address by setting up a “waterfall enrichment” across multiple data providers that essentially “guess” and verify the email address by sending an SMTP test which pings the mail server to see if the mailbox exists without sending an email.
Calling Strategy
We started with 2 outbound sales reps responsible for contacting veterinary clinics and booking meetings. The challenge was getting past the gatekeeper as receptionists strictly guard the time with veterinarians.
Our solution was to engage the practice manager and make receptionists feel heard by involving them in the sales process from the start. The results were immediate. Within the first 30 days, we booked over 12 meetings and scaled to a team of 12 outbound sales reps over the course of the next 6 months. Over time, we optimized our success by tracking call connect rates, the percentage of time we got connected to a decision maker, and by comparing them to various messaging.
